What Indian onboarding has to capture
A joiner in India brings statutory details that payroll needs in the first month: PAN, Aadhaar, the existing UAN or the steps to generate one, bank details, and the declarations and nominations that go with PF and ESI. The OSH Code, 2020 also requires an appointment letter for every employee.
UAN before the first payroll
Collect the existing UAN, or share the face-authentication steps so the joiner generates one before day one; the first ECR needs it.
Identity and bank details
PAN, Aadhaar and bank details captured once, encrypted and masked, and checked before they reach payroll.
Appointment letter
Issue the appointment letter the OSH Code requires, with the probation terms written in.
Policies acknowledged
Joiners read and accept the policies that apply to them, with the acknowledgement recorded.
Onboarding: frequently asked questions
Can candidates fill in their details before joining?
Yes. Joiners complete a candidate intake with personal, statutory and bank details and document uploads.
Can we make joiners acknowledge policies?
Yes. HR can publish onboarding policies that joiners read and acknowledge.
Does onboarding capture UAN and bank details?
Yes. Joiners enter statutory and bank details in their onboarding tasks, and they land in the employee record that payroll uses.
Can an accepted offer start the onboarding journey?
Yes. An accepted offer creates the joining journey, so details from recruitment are not keyed in again.
Can we issue the appointment letter from NeevHR?
Yes. Letters are generated from templates with the joiner's details, ready to sign and share.
Can a buddy or IT team get tasks before day one?
Yes. Pre-join tasks can go to HR, the manager, IT or a buddy, with due dates before the joining date.
